What changes with AppToMe 3

Since 28 August everyone is on version 3. Here is what you will find different.

If you have opened the app in the last few weeks you have already seen it: new screens, a different menu, a few buttons that were not there before. Accounts, organisations, shifts and history are the same as before, there is nothing to redo. This page lines up what is new, from the biggest thing to the smallest.

Shift swap

It is the thing you asked us for most often. You are signed up for Saturday's shift and Saturday no longer works: until yesterday you dropped out and left the gap. Now you open the shift, tap Propose a shift swap and pick a colleague among those who have your same task. You can hand the shift over and that is it, or propose a swap and take one of theirs in return.

They get the notification and have 24 hours to answer, never past the start of the shift. If the calendar requires it, after their yes a manager also has to sign off. If something changed in the meantime, they already signed up or you dropped out, the swap stops and no shift is touched. And if the swap would leave a shift uncovered, it does not go through. Everything you have sent and received is under Shift swaps in the menu.

For staff: shift swaps are switched on calendar by calendar, with or without approval. On-call shifts cannot be handed over.

Vehicle booking

Need the minibus on Tuesday afternoon to pick up the oxygen cylinders? From the menu, Vehicle bookings: enter day and time and the app shows only the vehicles free in that slot, meaning not assigned to a shift and not already booked. Write the reason and send. Some vehicles are yours right away, for others a manager decides. In the Vehicle calendar the colours tell you which is on a shift, which is booked and which is pending. A service shift always takes precedence over a pending request, never over an approved one.

Staff decide from the vehicle record which ones can be booked, which need approval and which are reserved to certain groups.

118 missions

For Lombardy associations under agreement with AREU. Every hour AppToMe reads the missions reported by the dispatch centre and puts them in a tab next to the shift and crew you had in the app, flagging when something does not add up: times out of range, a different vehicle. The data is read-only, the source remains the dispatch centre.

Announcements

Notices that really have to reach everyone now have their own channel, separate from the board: push notification, email and the Announcements entry in the menu, where they stay until you read them. Everyone gets them in their own language.

Five languages

The app speaks Italian, English, Spanish, German and Albanian. You pick the language from your profile, and email invitations go out in the language of whoever sends them.

For those who manage

Things volunteers do not see, but that will save you time.

  • Print of the calendar and of vehicle occupancy, in every language.
  • Excel instead of CSV: statistics with the breakdown per calendar, the calendar for the period, activities and checklists by type, vehicle history.
  • Certification expiry reminders in several steps, for example 60, 30 and 7 days before, to the person and to the managers, with a log of what went out.
  • Clocking reserved to employees: volunteers do not see the button and get no reminders.
  • Filter on open clockings, with the missing clock-out highlighted.
  • Each activity type is linked to the calendars where it makes sense: the Complete activity button appears only there.
  • Activity log for superusers: who did what, and when.
  • Notification window for employees: in the calendar settings you choose how many days before a shift to alert them, so they are not pinged at every retouch while you plan the month. Changes still show up in the app.
  • Custom colour for tasks, beyond the six in the palette.

Smaller things you will notice right away

The calendar has an Agenda view, shifts one under the other, which on the phone is the one you will use most. The shift card shows the photos of who is signed up and a warning if a checklist or an activity is still to be closed. Organisers see who is away among the candidates and confirm the on-call person with one tap. The people list filters by task and by group. In forms every field has its explanation underneath, multiple choices have a "select all", rows can be reordered by dragging. From your profile you can report a problem and attach a screenshot. And if you cannot see a feature because you lack a permission, the Dashboard tells you.

Updates

From now on you will no longer have to wait for the store. When a new version is out a banner appears at the top: on the phone the app downloads it and restarts in a few seconds, on a computer you just reload. If you are on a shift, ignore it: it applies by itself the next time you open the app.

Only changes that touch the phone itself, such as push notifications or clocking with location, still go through the store, and in that case the banner says so.

The version you are using is written at the bottom of the menu and of your profile: quote it when you report a problem.
